The Factura Problem: Why Your Finca Cannot Give You an Invoice Your Finance Team Will Accept

Published September 3, 2026

The scenario is common enough to have a name around here. A company books a beautiful Oriente finca for the offsite, pays four thousand dollars by Wise to a personal Bancolombia account, receives a WhatsApp voice note as confirmation, runs a great three days, and then the expense report gets rejected because there is no invoice.

Why it happens

Colombia runs on factura electronica. Formal businesses registered with a RUT and a NIT issue DIAN-validated electronic invoices with a legal name, a tax ID, an invoice number, itemized lines, and tax shown. That document survives a US audit.

Many rural fincas are not formal businesses. They are owned by a persona natural, rented informally, or run under a family member's name. They can give you a cuenta de cobro, which is a request for payment, not an invoice, and it does not carry the same weight with a finance team. Some cannot give you anything at all beyond a transfer confirmation.

This is not fraud. It is the informal economy that a lot of event business in Antioquia runs on. It only becomes a problem when the person paying needs the paper.

What a US finance team needs

Vendor legal name. NIT. Invoice number and date. Itemized services. Tax shown separately. Ideally a PDF that came from the DIAN system rather than a Word document somebody made. If the venue cannot produce that, the expense is going to be a conversation.

Who can issue it

Hotels: InterContinental, Marriott, NH Collection Royal, Diez, Park 10, Four Points, Binn, The Charlee. Centro Empresarial El Poblado, as a Camara de Comercio entity. Registered event companies operating as an SAS with a RUT. Most established Poblado and Laureles restaurants for buyouts.

Who often cannot

Independent fincas. Party houses in the Norte and the warm west. Informal caterers and DJs. Individual drivers. We mark can_invoice_us as ask on every listing where we have not confirmed it, and we confirm the NIT before we introduce a corporate lead.

The workaround

Book the finca through a registered operator. A DMC or an event company with a RUT contracts the property, invoices you for the whole package, and pays the finca. You get one factura for the finca, the transport, the catering, and the activities. The operator adds margin for this, typically in the ten to twenty percent range, which is the price of the paper.

Or split the offsite: run the working sessions and the room block at a hotel that invoices, and use the finca for the activity day paid as a smaller line that finance can tolerate.

Either way, ask before you pay. The question in Spanish is: emiten factura electronica? If the answer is a pause, you have your answer.

Tax wrinkles

IVA at nineteen percent appears on a proper factura; find out whether it was in the number you were quoted. Your international wire gets the 4x1000 bank tax on the Colombian side. Larger contracts can involve retencion en la fuente. None of this is advice; get a Colombian accountant involved on anything above a small event.
