The Medellín Show-Day Timeline: Load-In, Soundcheck, Doors and Curfew
Show days break because no one owns the clock. A sensible run of show reserves time for tasks that are invisible to guests: trucks arriving, patching microphones, a delayed opener, clearing the room and settling the door. Build the schedule backward from the venue's confirmed end-of-event conditions rather than forward from when the band wants to soundcheck.
Build backward from the last permitted activity
Ask the operator about amplified sound deadlines, building access, alcohol service, cleanup and when staff must leave. These may differ by venue and specific authorization. Record the answer and a contact for the person empowered to solve a timing conflict; don't treat a social media closing time as an event curfew.
Protect soundcheck and door time
A usable sample sequence is load-in, rigging and line check, full soundcheck, hospitality and reset, security briefing, doors, support act, changeover, main set, audience exit and load-out. Assign named owners and place buffers between changeovers. If the audience is waiting outside, you cannot recover that delay simply by playing later.
Make one shared contact sheet
Include the venue manager, production lead, front-of-house engineer, artist liaison, door manager, emergency contact, transport lead and any ticketing support. Print a copy and keep it offline. Your show-day document should state who can approve an extra rental, pause doors for safety or authorize a payment change.
Before you book: a six-point checklist
- Confirmed building access and final exit time
- Artist call times and load-in route
- Stage plot and technical changeover order
- Doors and public-facing ticket times
- Owner of crowd control and incident escalation
- Settlement and cleanup handoff
The message to send the venue
Use a short inquiry that gives the operator enough information to confirm fit: “We are planning the medellín show-day timeline. Our preferred date is [date, with alternatives], estimated simultaneous attendance is [number], and the budget for the room is [range and currency]. Please confirm the usable layout, included equipment/staff, access hours, any event-specific permissions, invoicing, deposit and cancellation policy. Could you send an itemized quote and current photographs?”
